Facilities Assistant - VR/30242
Joining as Facilities Assistant on a full time, permanent basis, you will be supporting with duties to ensure the smooth running of multiple offices across Aberdeen and Aberdeenshire. This role will require travel between multiple sites therefore a full, clean driving licence is essential.
Main duties and responsibilities
- Processing and distributing incoming, outgoing and internal mail along with deliveries between offices.
- Managing the retrieval of files from storage, organising documents and processing / disposal of confidential waste.
- Liaising with suppliers including Councils regarding waste / recycling and office cleaners, as required.
- Maintaining firm vehicles, including fuel cards, MOT, servicing, winter protection etc.
- Co-ordinating annual service and ad hoc repairs to central heating systems, electrical checks, gas safety checks and security systems within all offices.
- Maintaining record of fire, security and health and safety procedures for each office.
- Assisting Estate Agency Team in relation to board management, deliveries of brochures, mail drops and occasional property viewings.
- Carrying out regular audits of estate agency signage to ensure that standards are met.
- Assisting the Leasing Department with routine visits to properties, preparation of associated inspection reports, and minor fixes necessary to let properties.
- General housekeeping and building maintenance across all offices including instructing and monitoring office repairs as and when required.
- General health and safety including carrying out routine checks of fire alarms and record appropriately and organising of First Aid training. Monitoring all offices to ensure they are compliant and ensuring that adequate first aid supplies are in place within the offices and fleet vehicles.
- Assisting with preparation for firm events, including exhibitions, career fairs and Shire Games.
Applicants to this role require
- Strong working knowledge within a similar role.
- Confident with diary management and organisation, including ability to manage time and prioritise tasks.
- Good interpersonal communication skills.
- Presentable and pleasant in both appearance and manner.
- Take control of a situation and deal with it in a confident manner.
- Ability to juggle multiple tasks simultaneously.
