Logistics and Trade Compliance Coordinator - VR/30113
A Logistics and Trade Compliance Coordinator is required on a permanent, full-time basis based in Cove. The role offers a hybrid working arrangement, with the added benefit of a half-day on Fridays.
As Logistics and Trade Compliance Coordinator, you are responsible to administer logistics and trade compliance function and its requirements to ensure highly efficient and effective cargo movement.
Duties and Responsibilities include:
- Administering the company’s import/export compliance program. Working with the Logistics and Trade Compliance Group to ensure controls are in place that comply with the company’s legal and regulatory obligations.
- Providing assistance as applicable, emergency shipments, customs questions, missing supplier documents or information, to avoid the loss of time due to time difference between all global locations.
- Mobilising and managing internal and external logistics resources to ensure on-time and accurate deliveries of required materials at lowest total cost.
- Monitoring worldwide import operations related to the UK, Europe, Norway and Africa and/or area of responsibility.
- Using AI to effectively produce data sets required to satisfy RGR imports from UKCS.
- Endeavouring to find new ways to improve efficiency and streamline logistics processes.
- Providing responsive logistics services for emergency situations.
- Managing world class vendor relationship management practices for logistics providers.
- Identifying inefficiencies and areas of growth within current distribution network to continuously improve the balance between the level and cost of service.
- Managing and reducing logistics cost via freight rate benchmarks, freight consolidations opportunities, process flow reviews and assist with annual freight rate negotiations.
- Maintaining daily follow-up of export and import files and insuring efficient, cost effective and timely delivery of the material to the final destinations.
- Controlling documents necessary for the importation and for exportation in the various countries (invoices + packing list + certificates of origin, etc) interfacing with Freight Forwarders/carriers.
- Keeping a close follow-up on all kinds of issues, mainly customs and tax exemption (UKCS import/export charges, international imports, VAT exemption etc).
- Assisting with special projects in terms of budgeting logistic costs, clarifying procedures.
- Interfacing for all variety of issues between forwarding agents/shipping agents/customs brokers/packers/carriers/rigs or area offices.
- Audits Freight Forwarders/customs agents/brokers regarding the record keeping of customs import and export documents and their compliance with local regulations.
- Ensuring customs rules and regulations are complied with by each supplier delivering equipment to Freight Forwarders for onward shipping.
- Providing assistance and follow-up for all equipment imported under the temporary importation status within area of responsibility.
- Coordinating with Trade Compliance Department and making sure that all equipment is 100% in line with customs and tax rules and regulations.
- Administering the company’s import and export compliance program.
- Attending operations meetings for planning purposes.
- Weekly monitoring and executing of on hand reports with aligned OSD recovery and KPI measurements.
- Identifying inefficiencies and areas of growth within current distribution network to continuously improve the balance between the level and cost of service.
- Attending monthly governance meetings with the Freight Forwarders.
- Expanding the knowledge for the customs, compliance, agent’s aid scope as and when required.
Applicants to this role require:
- Ability to gather and analyse/synthesise data, confirming its accuracy and adequacy as an integral part of the collective analysis/synthesis process.
- Excellent written and verbal communication skills.
- Willingness to adapt to using AI as part of the daily work scope.
- Ability to communicate effectively across different levels of organisation, departments as well as across different cultures.
- Solid understanding of the legal aspect of Incoterms and trade compliance requirements of suppliers for import and export transactions.
- Preferred knowledge of drilling equipment for offshore drilling environment, including knowledge of key suppliers, industry specifications and standards.
- Ability to respond quickly and appropriately in a dynamic work environment.
- Working knowledge of Microsoft Excel at an advanced level (use financial and logical functions; work with multiple worksheets and workbooks; edit and use macros; import and export information).
- Ability to manage different logistic projects at the same time and meet deadlines.
- Ability to obtain, compare and discuss all kinds of transport and handling rates within the area of responsibility.
- Demonstrated negotiation skills with ability to influence and effectively lead and resolve issues.
