Operations Support Administrator - VR/30445
An Operations Support Administrator is required on a full-time permanent basis for a reputable company who serve the oil and gas, industrial and renewable energy industries. Hours are 8am - 4pm with a 9-day fortnight.
You will provide assistance to the operations, sales, logistics, planning, purchasing and warehouse teams.
Duties and Responsibilities include:
- Assisting with generating sales related documents including but not limited to quotations, sales orders and shipping documentation.
- Assisting with responding to customer enquiries for product information, availability, order status and pricing in a timely manner.
- Communicating order progress with customers and the sales team about the various order updates as soon as possible.
- Assisting with follow-up and close out of outstanding quotes with customers.
- Assisting with control and expediting import and export of goods to fulfil the predetermined delivery requirements.
- Assisting with creating, managing, and maintaining accurate records of export/import documentation within various databases to comply with import and export licences/customs regulations and customer requirements.
- Assisting with preparing logistics and product quotations in response to queries by internal/external customers.
- Assisting with recording and storage of required documentation.
- Assisting with sending open order reports.
- Assisting with preparing sales order shortage report – expediting items as required.
- Running purchase lines report and expedite all suppliers for overdue/incoming orders.
- Assisting with updating stock levels and stock keeping units.
- Reviewing and setting replenishment information and pricing.
- Creating new item cards for new items as and when required.
- Processing Vendor additions or changes.
- Liaising with Finance for payments made and update POs as required.
- Assisting with processing and recording of documentation where required by operational processes and regulations.
- Inventory adjustments as and when required.
- Processing transfer orders between offsite locations.
- Answering PO queries and resolving discrepancies with invoices regarding pricing and receipts.
- Processing scrap transfer orders and liaising with warehouse regarding slow moving/obsolete stock.
- Ensuring all policies are adhered to and required documentation is correctly recorded/stored.
- Effectively managing, work allocation and prioritisation of daily workload.
- Ensuring all relevant paperwork is completed with the correct details and in accordance with quality procedures.
- Processing orders in a timely manner for production, distribution centre and corporate.
- Responding to enquiries from inside sales representatives relating to availability and delivery.
- Date alignment and management, goods in v goods out.
